We offer tailored conference services specific to corporate client requirements. Tours operating from a conference venue can be tailored to suit the schedules of the conference delegates depending on individual availability. We are extremely flexible regarding conference organisers’ requirements and the schedules of the delegates in terms of the provision of our services.
For instance, short tours of thirty minutes or an hour, for a maximum of two people at a time could be run continuously throughout the day if there are high numbers of customers. Alternatively, if the number of delegates is lower, these tours can be of a longer duration and extend out of the immediate area to take in more of the local countryside. These shuttle-type tours can commence as early as required and extend throughout daylight hours. Tours can also extend well into the evening during the months when the sun sets later in the day.
Also, the standard tours detailed under ‘Half Day Tours and ‘One Day Tours’ can be amended to allow for a departure from a conference venue.
The tailored conference services, with the continuous running of shuttle-type tours throughout the day for delegates, rates are:
· $700 per conference day ($350 per motorcycle – standard day tours rate) · $700 for pre- and post-conference charges ($350 per motorcycle) § This charge is to cover the two half days before and after a conference required for motorcycle and equipment transportation. · Courier charge (at cost) for safety equipment transportation to and from venue § Courier charge specific to location of venue · Accommodation and meals costs for motorcycle operators § If overnight accommodation and meals are provided by the conference centre then no billing would occur. Important notes
· Conference charges are irrespective of the number of shuttle tours conducted during the conference and the number of delegates present. Vicmoto will ensure that all delegates wishing to take a tour have the opportunity to do so.
· There is no limit on the total number of tours conducted during a conference or the number of tours taken by each delegate. We wish to provide maximum value for money and will run as many tours as possible during daylight hours for the duration of the conference.
Examples
One Day Conference
For example, a one day conference running continuous shuttle-type tours as per delegates’ requirements and availability will cost:
· $700 per conference day · $700 total pre- and post-conference charges · Courier charge for safety equipment transportation (at cost) · 2 nights accommodation and meals for motorcycle operators (if applicable)
TOTAL COST: $1400 plus courier charges and accommodation/meals costs
Two Day Conference
For example, a two day conference running continuous shuttle-type tours as per delegates’ requirements and availability will cost:
· $700 per conference day · $700 total pre- and post-conference charges · Courier charge for safety equipment transportation (at cost) · 3 nights accommodation and meals for motorcycle operators (if applicable)
TOTAL COST: $2100 plus courier charges and accommodation/meals costs
Standard Tours Departing from Conference Centre
Prices for the standard half day tours and one day tours departing from a conference venue are as per our standard tour rates:
· $200 per person for half day tours · $350 per person for one day tours
These tours are for a maximum of two people per tour.
       Vicmoto Motorcycle Tours Availability
We are generally available for bookings seven days per week all year round subject to prior bookings. Every effort is made to accommodate all booking requests and we are extremely flexible regarding conference organisers’ requirements in terms of the provision of our services.
During the summer months, primarily December to February, the temperatures can reach in excess of 30°C - these conditions are generally too uncomfortable for motorcycling as riders and passengers overheat whilst wearing the mandatory safety equipment. During this warm period, the weather forecast will be taken into account prior to a conference or tour booking being confirmed.
It is important to note that the seasons of autumn, winter and spring are excellent times of year for motorcycling. The incredibly warm motorcycle equipment provided (with removable quilted thermal liners) and the expansive bodywork of the motorcycles in addition to the heated seats keeps our passengers very warm and comfortable.
Motorcycle Clothing and Helmets
There are twelve (12) complete sets of company motorcycle clothing and helmets available and they cover a range of sizes - there are two of each size of every piece of clothing and helmets. There are maximum sizes for each item and these are shown on our website and brochure.
If any of the delegates’ measurements exceed the stated maximums detailed in the Sizing Chart then we are unable to provide the individual with that particular item of safety equipment. As a result we will be unable to carry that individual on the motorcycle as the wearing of all items of safety equipment is a mandatory requirement.
Clothing and helmets available are: · Nolan N102 ‘flip face’ helmets with additional half depth sun-visor fitted. · AGV Sport ‘Tour 2’ jackets and trousers with removable quilted liners. · AGV Sport ‘Tour’ boots. · AGV Sport ‘Tour’ gloves.
All clothing and helmets are fully cleaned after every use: Helmet and clothing liners are removed and laundered after use. A brand new foam cover is also fitted to helmet mounted boom microphones prior to use.
Equipment Transportation and Storage
All clothing and helmets are stored in a total of ten custom-made and lockable plastic storage containers. These containers are clean, are clearly marked with professional signs, lockable, aesthetically appealing, and have no external fittings that could damage furniture and fittings at a venue. The containers can easily be stacked and they are ribbed to interlock with each other.
Vicmoto Motorcycle Tours employs a courier company to transport our motorcycle equipment to and from venues. The conference venue would be required to receive and store the containers indoors in a secure location on arrival and allow space for security throughout the duration of the event.
Each company motorcycle has a UHF radio link and mobile telephone link integrated with the onboard communications system. Both passengers and riders can freely converse at all times via the communications equipment installed in all helmets.
Safety comes first on all occasions; the motorcycle riders operate the motorcycles within the law, exercise due diligence and take their duty of care obligations very seriously.
Both company riders are First Aid and CPR trained and both motorcycles carry a comprehensive first aid kit and fire extinguisher.
Both company riders are accredited operators with the Victorian Taxi Directorate (VTD), the motorcycles are VTD registered and public liability insurance is in place. Further details of these credentials can be viewed on the ‘Our Service’ web page.
Vicmoto Motorcycle Tours operates with a high level of professionalism and the motorcycles are maintained regularly and kept at a high standard of cleanliness at all times.
An additional service that is available consists of company riders taking digital video footage and digital photographs of all tour participants continually throughout the duration of a tour and/or a conference period. This data is then collated and edited onto a personalised DVD of the event as a permanent record of the experience. The production cost of a DVD is $20, if multiple copies of a DVD are required for members of a conference then the additional copies are charged at reproduction cost only, which is typically $2 each.

 Entertaining of Overseas or Interstate Corporate Clients or Visiting Company Executives
This option is a very unique way of introducing international or interstate visitors to Melbourne and the state of Victoria. After booking and submission of measurements in accordance with our sizing chart, we can collect up to two clients from your corporate headquarters for half day, one day or multiple day tours. A tour can be selected from one of our standard options detailed under ‘Half Day Tours, ‘One Day Tours’ and ‘Two Day Tours or a custom tour to a specific region or venue can be organised by Vicmoto. After the tour, passengers will either be returned to the collection point or to any other destination you may require.
Corporate clients or company executives may initially arrive, or have had previous business, in another city such as Adelaide or Sydney and wish to travel to Melbourne with Vicmoto Motorcycle Tours. Conversely, this option can be used to wish them farewell as they depart Melbourne for another Australian city.
It is possible to make courier arrangements for luggage should your corporate visitors be arriving from overseas or if you are using our service to transport passengers to, or from, an Australian departure point outside of Melbourne.
Corporate Tours Prices
The prices of these corporate tours are as per our standard tours rates:
· $200 per person for half day tours · $350 per person for one day tours · $385 per person per day for multiple day tours § excludes customer's overnight and meals costs · Custom tours, such as one-way tours or to particular venues, are price-specific to clients’ requirements § Please contact us to discuss your specific requirements
These tours are for a maximum of two people per tour and exclude meals, refreshments, overnight and courier costs.
As a general rule, multiple day and one-way custom tours prices are calculated based on the duration of the tour and follow the pricing of our standard tours. Additional costs apply for courier charges, overnight accommodation for clients and one-way tours (a charge of 50% of the standard tours rates applies for each and every day, or half day, Vicmoto is in transit to or from client collection or return).
Example Pricing: One-way tour to/from interstate destination i.e. Melbourne-Sydney or Sydney-Melbourne
· Total duration: 4 days (2 days Vicmoto transit, 2 day corporate tour) § Note: a comfortable maximum distance covered per day is approx. 400km. Sydney-Melbourne approx 800km. · $385 per person per day of tour (total 2 days) · $385 per person for Vicmoto transit (50% transit rate for 2 days transit) · Clients’ 1 night accommodation cost · Clients’ meals and refreshment costs · Courier charges for additional luggage (if applicable)
TOTAL COST: $1155 per person (plus courier charges, clients’ overnight and meals costs)
It is important to note that every effort is made to create an interesting, enjoyable and varied route for your custom tour by deviating from the major interstate highways where possible and subject to your time constraints.
Corporate Incentives and Gift Certificates
A great way to reward staff for hard work and business success is to offer a Vicmoto motorcycle tour as part of an incentive scheme. Gift certificates can be purchased on-line for tours of any duration, which are valid indefinitely and can incorporate your company logo and the name(s) of the recipients if required. The certificate can be mailed to your business address for presentation to your lucky employee(s) or it can be arranged for us to arrive at your premises on the motorcycles to present it. After booking and submission of measurements in accordance with our sizing chart, we can collect up to two staff members from your company premises for half day, one day or multiple day tours. Our arrival and collection of the staff from your premises is a great way of providing a highly visual and exciting incentive to other staff in terms of future productivity and a marketing opportunity for your business as a result of being featured in our promotional material.
